The Human Resources Business Administrator supports the Vice President, Human Resources with the execution of enterprise-wide HR processes to ensure consistency, completeness, accurate and timely completion of these processes.  This position reports directly to VP and also works to manage meeting schedules, travel and accommodation, HR projects and timelines, reporting and presentations.  Professionalism, time management, and organization skills comprise key components of this role.  



  • Coordinate calendars - ensure effective coordination and scheduling of appointments, meetings and activities for the VP and the Canadian HR Team
  • Organize VP’s meetings including but not limited to: schedule coordination, agenda preparation, video conferencing, and set up/facilitation assistance on the day of the meeting
  • Take minutes of meetings, disseminate professional versions post meeting to those in attendance
  • Travel to and attendance at meetings in place of VP on occasion
  • Work closely with the VP to keep her informed of upcoming commitments and responsibilities, assist the VP with calendar and e-mail management
  • Event planning and coordination – team building events, offsite meetings for various client groups, etc.
  • Prepare both domestic and international travel/hotel/car arrangements for VP, and any visitors
  • Provide a contact point for all persons to contact the VP, understanding the priority of the contact and acting as an ambassador to all of the VP’s contacts
  • Provide general office support as required (e.g.: answer phones, open and distribute mail, establish and maintain filing systems, process invoices and expense reports, etc.)

HR Process Management:

  • Supports VP, HR with execution, coordination and management of annual HR activities to include: Talent Review process, merit increase & bonus process, budget preparation and tracking, etc.
  • Collaborates with field HR staff and gathers/disseminates required data/information to and from field HR staff to generate one Canada HR perspective.
  • Supports VP, HR with organization, implementation and administration of HR initiatives across the organization.
  • Coordinate and manage the HR dashboard (HR analytics and reporting) in collaboration with HR team. Responsible for monthly reporting (metrics, analytics, trends, etc.) and HR activities / project updates to provide relevant information for decision making.
  • Uses a professional project management approach to complete assigned projects, including: establishing the project parameters, deadlines, budget, and methodologies. Completes projects on time, on budget, with a high quality result. 


  • Work closely with HR team members in coordinating projects and conducting research, gathering data and KPIs
  • Maintain a keen awareness of departmental and organizational goals and objectives, in order to best support the VP and the HR team
  • Handle special confidential projects as assigned 

Reporting & Documentation:

  • Support the VP inpreparing reports, memos, letters, acting as gatekeeper for documents owned by the VP and HR team
  • Prepare, compose and initiate various documents, often confidential in nature, such as presentation materials, correspondence, memoranda, agendas, reports, minutes, notices, postings, tables, forms, spreadsheets, choosing the appropriate means of communication, including the preparation of materials for executive meetings.
  • Expense report preparation for VP
  • Coding of invoices for approval
  • Acts in a manner that demonstrates a desire to collaborate, share, and leverage best practices across Country 

Health & Safety:

  • Maintains a working knowledge of safety policies and regulations to ensure duties of self and others are performed in a safe manner.



  • Bachelor’s Degree in Business Administration, Human Resources, Finance, Engineering, or a related field.
  • MBA preferred

Experience and Skill Set:

  • Strong written and verbal communication skills
  • Strong interpersonal skills and the ability to build relationships at differing levels within the organization
  • Proven ability to handle confidential information with discretion
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Must be flexible, able to balance multiple tasks and changing priorities, with required urgency
  • Must have the ability to diplomatically negotiate deadlines and deliverables
  • Exhibit exceptional organizational skills so as to complete assignments and produce accurate work products in a timely manner without follow-up
  • Take initiative to research and solve problems
  • Advanced proficiency with MS Word, Excel, and PowerPoint.
  • Working knowledge of Workday, Adobe Acrobat, Photoshop/PageMaker, SAP (asset), Fiori (asset)
  • Balances the need to be a gatekeeper with the need to also be collaborative
  • Excellent proofreading and editing skills
  • Bilingual skills (English and French), an asset
