    Overview

    The Plant Administrator - GCA Concrete Products supports operations with vendor quotes, PO requisitions, receiving on POs, signing on bill of lading, weekly reconciliation of raw material receipts, and P-Card expense preparation.

    The Plant Administrator is also responsible for Reception, the daily upkeep of the office, and providing backup administrative support to the sales department.

    Responsibilities

    Reception/Office Administration

    • Greet internal and external guests in a courteous and professional manner.
    • Answer the main phone line and respond to general sales from customers.
    • Enforce safety culture by conducting safety orientations to all visitors upon their arrival ensuring emergency procedures and emergency exits are clearly pointed out.
    • Maintain visitor orientation tracking system.
    • Distribution and preparation of incoming and outgoing mail and couriers.
    • Ensure all machines in common areas are functioning and arrange services as required (coffee machines, copiers, proxyclick, etc).

    Operations Administration

    • Keep records of all supplier contracts & performance records (safety, quality, etc).
    • Obtain quotes from vendors for smaller spend (<20k CAD), and work with corporate operational procurement group for larger procurement needs.
    • Work with purchasing group, operational specifiers, and vendors to obtain required information and prepare clear, concise and accurate product and service description for inclusion in specifications, scope of work statements, purchase order and RFP (requests for proposals), and simple service agreements.
    • Prepare requisitions in SAP to obtain POs.
    • Collect timesheets, bill of lading and other information to receive on POs.
    • Receive on POs once work has been completed and confirmed.
    • Ensure all POs prior to release are compliant with Health and Safety policies and initiatives.
    • Co-ordinate with corporate services on:
      • Vendor creations, modifications, deletions
      • P.O. modifications
    • Co-ordinate with the business regarding resolution on P2P issues as they occur and perform root cause analysis to ensure that best practices are captured and shared amongst team.
    • Enter raw material deliveries in concrete batching system.
    • Prepare weekly reconciliation of concrete batching records with SAP.
    • Prepare P-Card expense reports

    Qualifications

    Education: 

    • Post-Secondary education in Business Administration an asset

    Experience and Skill Set:

    • 5+ years of administrative experience
    • Excellent customer service skills
    • Experience managing business expenses through an ERP system, SAP preferred
    • Experience scheduling travel and accommodations through an on-line booking system
    • Strong organizational and interpersonal skills
    • Experience in MS Office - Word, Excel and PowerPoint
    • Ability to work independently and effectively in a face paced environment
    • Detail oriented
    • Strong computer application knowledge
    • Ability to get along and work well in a team centered environment
    • Time management
    • Interpersonal Savvy
    • Priority Setting
