    We are seeking an energetic and self-motivated individual to join our team in a fast-paced environment to perform a variety of administrative tasks. The Administrative Assistant is responsible for supporting the Executive Assistant/Office Manager in office operations, accounts payable, creating and receiving of purchase orders for office and operations staff, assisting in meeting logistics, reception relief and other tasks as assigned. 


    • Assist in general office administration and organization
    • Preparing and receiving on purchase orders (office and operations) in SAP
    • Accounts payable administration
    • Contribute to the daily organization of all common office areas; meeting rooms, copy areas, supply/storage room, lunchroom and kitchenettes
    • Assist in meeting logistics (calendar bookings, catering, registration, room set up, visitor assistance)
    • New hire set up assistance; seating plan, distribution lists, welcome packages
    • Assist with event coordination and planning
    • Reception relief as needed, including vacation coverage
    • Administrative support to the Executive Assistant / Office Manager
    • Other tasks and projects as assigned

     Reception Relief:

    • Greet internal and external guests in a courteous and professional manner
    • Answer main phone line and respond to general inquiries from the public
    • Enforce safety culture by providing safety orientations to visitors
    • Prompt distribution and preparation of incoming and outgoing mail, couriers and faxes.
    • Ensure all machines in common areas are functioning and arrange services as required (dishwasher, coffee machines, copiers, printers, postage and reception tablet).



    • Post-Secondary education in Business Administration an asset

    Required Skills:

    • 2 years + of administrative and/or reception experience
    • Experience with purchase orders and accounts payable
    • Excellent communication skills; both verbal and written
    • Excellent customer service skills; professional, friendly, energetic and positive attitude
    • Ability to work independently with strong organizational skills
    • Self-motivated, takes initiative and strong work ethic
    • Good working knowledge of MS Office; Word, Excel and PowerPoint
    • Experience with SAP a plus
