    Overview

    Reporting to the Western Canada HR Director, the HR Coordinator works closely with all members of the HR team in support of key HR issues, strategies, projects and objectives.  The HR Coordinator helps to administer all aspects of HR activities for WCAN. The HR Coordinator will mentor with HR Managers, supporting them in HR generalist activities, in view of building our HR succession plan.

    Responsibilities

    Health, Safety & Environment:

    • Demonstrates a commitment to a safe work environment. 
    • Understands the safety objectives of the organization and supports these efforts in a visible manner.
    • Promotes health & safety initiatives/programs in the corporate office.
    • Acts as the Wellness Champion at the local office helping to communicate and promote initiatives associated with Total Rewards team (i.e. Wellness and the Wellness Account, Health Spending Account, Employee & Family Assistance, etc)

    HR Support:

    • Supports the field managers with day to day transactional HR related issues and questions. (i.e. How to schedule medicals, navigating Workday, accessing a contract, etc.) Serves as the primary point of contact between the field and the HR Service Center for dissemination of information to and from the business.
    • Responds to inquiries regarding policies, procedures and programs.
    • Investigates and responds to employee questions or issues related to pay, benefits and training.  
    • Maintains and coordinates employee recognition (service award) programs for his/her respective business partners.
    • Coordinates key analytics and reporting for geography to support business objectives and HR dashboard.
    • Engages in communications with other HR team members around best practices, innovative solutions for efficiencies and identifying opportunities to create consistency. 
    • Works with the HR Shared Services group to identify and implement processes necessary to eliminate duplication of work and reduce overall administrative burden.
    • Supports HR Managers as required with talent acquisition, onboarding, labour & employee relations, total rewards (bonus/merit), succession & talent planning activities, performance management, investigations, projects, learning & development and any other HR generalist activities as required.
    • Organizes the annual updating of HR materials, documents, forms, and HR Drive etc to ensure information is current, accurate and relevant.
    • Serves as back up to other HR Coordinators and Administrators during absences, vacations and work overload.
    • Assists with annual reporting, surveys, etc on behalf of WCAN.

    HR Information Systems:

    • Manages DocDNA (uploading information).
    • Serves as the Workday expert for the WCAN division providing training and backup as required for HR and line managers.
    • Reviews/audits employee records within Workday for accuracy, data integrity and legal compliance making changes as/when required.
    • Manages positions within Workday to ensure that roles are set up correctly for new hires and/or transfers. Coordinate with the Workday help desk to ensure that supervisory organizations are set up when needed.
    • Assist HR Managers with employee maintenance actions when needed.
    • Creates ad hoc reports as required. 

    Projects:

    • Provides support (research, reports, business cases, information investigation) to HR issues, projects, initiatives and goals as required.
    • Coordinates and completes annual surveys and employer recognition applications (i.e. Canada Top 100 Employers).
    • Acts as the internal control for HR Processes and completes HR testing cycle(s) as required.
    • Supports or leads innovative/process improvement projects across markets/operations

    Relationships with Other Jobs:

    • High level of interaction with Western Canada HR Director and Managers
    • Works closely with other HR Coordinators across Canada
    • Some interaction with business Line Managers.
    • Strong interaction and collaboration with HR Service Center employees.
    • The incumbent must have ability to build relationships and get up to speed quickly on needs of the business and offer solutions.

    Qualifications

    Education and Work Experience:

    • Bachelor degree in Business or Human Resources.
    • At least 2 years of HR experience. 

    Knowledge and Skills:

    • Demonstrated administrative and organizational skills with high degree of thoroughness, accuracy and confidentiality.
    • Strong knowledge of HRIS systems, and database query and reporting in an ERP environment.
    • Strong computer skills with proficiency in use of Microsoft Office Excel, PowerPoint, Word and other applications.
    • Ability to multi-task.
    • Strong verbal and written communication skills.
